Choose tools and control access
Once a service is connected, its page shows everything it offers and puts you in control: you decide which actions your assistant can use, and who's allowed to trigger them.
Turn individual tools on or off
A connected service usually offers several tools — individual actions like "search customers", "create a ticket", or "look up an order".
On the service's page you'll see each tool with a short description and an on/off switch.
- On — your assistant may use this tool in conversations.
- Off — the tool is hidden; your assistant won't use it.
This lets you give your assistant only the abilities you want. For example, you might let it look things up but not create or change anything.
Don't forget to Save after making changes.
When you first connect a service, consider leaving only the "read" or "search" tools on. Turn on the tools that make changes once you've seen how your assistant behaves.
Limit a tool to certain roles
Some actions should only be available to certain people. For each tool, you can restrict it to one or more team roles.
- No role selected — anyone chatting with the assistant can trigger the tool.
- One or more roles selected — only people with those roles can trigger it; for everyone else, the tool simply isn't offered.
This is useful for sensitive actions. For example, you might allow everyone to check an order, but only your support team to issue a refund.
Pick the roles for a tool, then Save.
Roles are the same team roles you manage for your assistant. If you haven't set up roles yet, every tool is simply available to everyone until you do.
How your assistant uses all this
When someone chats with your assistant, it sees only the tools you've turned on and that the person is allowed to use. It then picks the right one on its own, uses it, and answers in plain language — the visitor never sees the mechanics.
If you connect several services, your assistant draws on all of them together.
Disconnect a service
To stop using a service, open its page and click Disconnect.
- Your assistant immediately stops using that service.
- Your tool choices and role settings are kept, so reconnecting later is quick.
This works just like disconnecting any other connector.
